To send a reminder notification to employee(s) of scheduled clock-in time and/or send an email notification that an employee has not yet clocked in, creating Notifications and Scheduled Tasks within eLube software is possible.

Configure Store Settings

  1. Open eLube software

  2. Select ‘System Maintenance’ from top panel menu

  3. Select ‘My Business’ from left panel menu

  4. Click on ‘Stores’ icon

    1. Double-click on appropriate store to enable editing

    2. Select ‘Staff Management’ tab

    3. Select ‘Payroll’ tab

      1. Clock in Buffer: Enter number, in minutes, the employee has before clock-in is necessary

    4. Select Reminders tab

      1. Notification Time: Enter number, in minutes, to send the reminder to the employee before scheduled work time

      2. Reminder Messages:

        1. Text Message: Enter a brief text message to send to employee. Use Predefined Fields, if desired

        2. Email Subject: Enter desired subject of email

        3. Email Message: Enter email message to send to employee. Use Predefined Fields, if desired.

    5. Select Save(F5)

Create Notification(s)

  1. Select ‘System Maintenance’ from top panel menu

  2. Select ‘System Scheduling / Notifications’ from left panel menu

  3. Click on ‘Notifications’ icon

    1. Step 1: Find the Notification with a: Select desired search option from drop-down menu

    2. Of: Enter criteria in box

    3. Click on binoculars to process search

      1. Double-click on Scheduled Employee Has Not Clock In to enable editing

      2. Select ‘General Settings’ tab

        1. Email: Enter email address to send email notification. Separate email addresses by commas

      3. Select ‘Advanced Settings’ tab (optional settings)

        1. Effective: Select date / time from drop-down menu, if desired

        2. Only Send Notifications for Events that occur between:

          1. Time Range #1: Enter start and stop time, if desired. Defaults to AM. Manually enter PM, if applicable

          2. Time Range #2: Enter start and stop time, if desired. Defaults to AM. Manually enter PM, if applicable

        3. Try to send the notification X times: Enter the number of times, if desired, the notification will send. Leave blank for unlimited number of times.

    4. Select ‘Save (F5)’

Create Scheduled Task for Schedule Reminder

  1. Click on ‘Scheduler’ icon

  2. Select ‘Add (F4)’

  3. Complete the following fields:

    1. Description: Schedule Reminder

    2. Is Enabled?: Select to enable the task

    3. Task Type: Select Notification from drop-down menu

    4. Day of the Week:

      1. Select All radio button to enable task for every day of the week

      2. Select None radio button to disable task for every day of the week

      3. Select individual days, if desired, to enable task for only specific days

    5. Hour of the Day:

      1. ‘Select All’ radio button to enable task for every hour

      2. ‘Select None’ radio button to clear all hours

      3. Select individual hours, if desired, to enable task for specific hour(s) of the day

    6. Minute of the Day:

      1. ‘Select All’ radio button to enable task for every minute (not recommended)

      2. ‘Select None’ radio button to clear all minutes

      3. Select individual minute(s), as desired, to enable task for specific minute of the hour

  4. Select ‘Save (F5)’

Create Scheduled Task for Scheduled Employee Not Clocked In

  1. Click on ‘Scheduler’ icon

  2. Select ‘Add (F4)’

  3. Complete the following fields:

    1. Description: Scheduled Employee Not Clocked In

    2. Is Enabled?: Select to enable task

    3. Task Type: Select Notification from drop-down menu

    4. Day of the Week:

      1. ‘Select All’ radio button to enable task for every day of the week

      2. ‘Select None’ radio button to disable task for every day of the week

      3. Select individual days, if desired, to enable task for only specific days

    5. Hour of the Day:

      1. ‘Select All’ radio button to enable task for every hour

      2. ‘Select None’ radio button to clear all hours

      3. Select individual hours, if desired, to enable task for specific hour(s) of the day

    6. Minute of the Day:

      1. ‘Select All’ radio button to enable task for every minute (not recommended)

      2. ‘Select None’ radio button to clear all minutes

      3. Select individual minute(s), as desired, to enable task for specific minute of the hour

  4. Select ‘Save (F5)’
